Support Staff Intake Coordinator

Our front office has an opening for an energetic, detail focused, team-player that excels in a busy and fun environment. This is a full-time, entry level position serving as a member of our front office team to support 25+ clinicians. The Intake Coordinator focuses on providing a knowledgeable and friendly experience to new and existing clients. They are accountable for managing the collection of new client paperwork, overseeing clinician schedules, maintaining timely data entry, and interfacing with the public in person, by phone and by email. Our front office is a fast-paced, collaborative environment that provides excellent customer service and support to the clinical teams. Experience in a mental health, medical, or office setting is preferred, but not required. We offer a thorough training program and are willing to train the right person!   • Entry level or basic medical billing knowledge preferred, but not required
  • Experience in an office-related or receptionist role preferred, but not required
  • Flexible availability including some evenings and weekends


Responsibilities include:

  • Basic clerical duties including, but not limited to, answering multi-line phones, accurately entering client data, printing, scanning, scheduling, client check in/out, collecting payments
  • Providing basic orientation and welcoming clients
  • Supporting 25+ clinicians with scheduling and additional requests of varying complexity
  • Interfacing with the community via in person, phone, email, and text
  • Creating and updating the paperwork spreadsheet daily
  • Sending, sorting, and ensuring accuracy on all incoming paperwork
  • Calculating cost estimates for services, interpreting insurance benefit information, and assisting in explanation of benefits to clients daily
  • Maintaining HIPAA and ensuring the protection of Protected Health Information (PHI)
  • Reports to Support Staff Supervisor


Salary Range:

This is an entry level full-time position with benefits. Pay begins at $16.00 hour based on experience. Hours will be Monday through Friday 8:30am-5:30pm. The position may require 1 Saturday a month.
